Step # 1 - information gathering

From a small gathering of partners or a reward trip for top sales staff to a large and complex event bringing thousands of colleagues or peers together around an industry conference or trade show, group events have a multitude of different needs and requirements that need to be addressed early in the planning phase in order to ensure a memorable event. SeaSide Events works closely with our customers to first understand their group event requirements and from that point on we can find the research the options, find the perfect hotel or conference center to meet your needs, and propose your group event. As part of the information-gathering phase, SeaSide Events will determine the type of group event our customer is planning to organize. A few examples of group events we have hosted in the past:

Every event begins with a vision, and from there you can define your event objectives. SeaSide Events works closely with our clients to transform their vision into a plan of action with specific and quantifiable objectives, strategies, and targeted metrics. Following this step, our clients can make informed planning decisions. To get there we start with the basics like who, what, when, where, and why.

Every group event is different, and thus requirements vary from event to event. Some groups require large theaters for group presentations or panel discussions, as well as Conference Space, AV Equipment, and Break-out rooms. Music festivals require stage and sound equipment and sports-related events need pool-deck space and island-based events. Similarly, all groups typically require specific dining arrangements across specialty restaurants and main dining rooms, as well as cocktail lounges and nightly live entertainment…SeaSide Events works closely with our clients to define and list all key event requirements and presents multiple options to make an informed decision.

Defining the event’s date options, as well as the number of days is critical when planning a cruise ship event given the commitments that need to be made in advance. Cruise Ship-based events typically last 3-7 days, and can take place exclusively during the weekend (e.g. Friday-Monday) or with a combination of weekday/weekend, thus allowing the group program to incorporate business events on weekdays and leisure time on weekend days.

Needless to say, overall event costs and logistics are proportional to the number of attendees. Accommodations, Group Venues, Dining Arrangements, Entertainment, Shoreside Events, and Scheduling require a firm understanding of cruise ship space capacity, guest flow, and multi-deck layouts to ensure a smooth and efficient multi-day event. Knowing the expected number of guests (plus or minus a percentage) is a key data point on cruise ship event planning.

Event organizers will need to have a good idea of the event’s program including general sessions, group receptions, break-out sessions, team activities, diner events, entertainment, and other key program aspects in order to ensure the properties and venues are selected.

Modern Hotels and Conference Centers have ample meeting space and state-of-the-art audio-visual equipment, thus event organizers can rest assured their needs can be met. Nevertheless, it is critical the program and schedule are reviewed in order to ensure meeting rooms and equipment is available as needed given the multipurpose nature of these spaces.

Unless your conference is being funded by a grant or organization, event organizers need to define their overall spending limits early on in order to ensure the appropriate options are being considered at this stage. There are many aspects of a group event that will require detailed costing, thus a clear idea of total spending is probably one of the most important aspects of the planning phase.

As group organizers need to factor in transportation and logistics into the review process of any Hotel or Conference Facility. It is critically important to know how the delegates or attendees will arrive at the location, what transportation options exist (e.g. Airport Shuttles, etc.), and parking facilities for those driving their own vehicles. Knowing your group’s transfer or logistics needs will be a key aspect of the planning phase towards a memorable event.

Step # 3 - Cruise Line Negotiation & agreement

The rewards of hosting your group event on board a modern cruise ship will pay dividends for years to come. However, ship-based events have unique characteristics that need to be carefully accounted for in the planning process leading up to the grand event. At SeaSide Events, we take a very proactive approach to working closely with our customers and cruise lines to ensure a fully transparent negotiation and agreement process accounting for all key aspects of the group event. As part of our services, SeaSide Events interacts directly with the cruise lines to create a comprehensive event quote, as well as key terms and conditions related to the onboard group event. At the end of this process, and in full interaction with our customers, we make a final ship selection, define the event’s cruise itinerary, the total number of staterooms and guests, access to group venues, amenities, and onboard activities, as well as all financial and payment details.

Ship Size & Type

Cruise Ship Charateristics

Whether your group event expects to host 100 attendees for a corporate event, or 4,000, music or sports fans celebrating their favorite bands of pro-team, cruise ships offer the option to customize your event either as an exclusive group with private access to venues facilities or as a full-ship private charter. Either way, cruise ship-based events create memorable experiences and memories your attendees will relish for years to come.

Cruise ship events are typically contracted out 12-18 months in advance to secure the best ship, accommodations, onboard activities, and function space for the program.

At SeaSide Events, we pride ourselves on our ability to foresee all critical elements of planning a cruise ship-based event and share these insights and experiences with our customers to ensure a smooth and efficient pre-event planning phase. 

Accommodations: Define and select stateroom types and Pricing (Inside, Oceanview, Balcony or Suites), Double/Single Occupancy, Locations, Configurations, etc.

Dining: Select group dining options, restaurant buy-outs, seating arrangements, dining times, as well as foodservice options (e.g. Group Receptions, Coffee Breaks, etc.)

Meeting/Event Venues: This process secures and reserves group venues and locations such as main theaters, conference facilities, lounges, deck space, Beach locations (private islands), and other venues required to run the event.

Cruise Ship Charters allow the option to modify the ship’s traditional port itinerary to meet the needs and objectives of a given event. The simplest type of itinerary customization involves changing ports of call within an itinerary while keeping the departure/arrival city and dates as scheduled. Incremental costs (if any) associated with the custom itinerary request will be included in the initial charter quote and/or provided as an optional line item.

Group Events (e.g. non-full ship Charters) follow the predetermined ship’s itinerary for the given dates of the event and thus do not require any modifications to the ship’s port schedules.

SeaSide Events’ experience with both Cruise Ship Charters and Large Groups is leveraged on our customer’s behalf to determine the ideal itinerary and cruise length to meet our customer’s event objectives.

Cruise Ship Charters typically follow a staggered payment plan following the initial 10% charter rate deposit submitted at the signing of the Charter Agreement.  Depending on the cruise line, the balance of the Charter rate (inclusive of Cruise Fare + Taxes/Fees + Gratuities) is paid in 3-4 installments of 20-30% each starting 9 months prior to sailing. Example:

  1. Deposit of 10% at Charter Agreement Signing (18 Months prior to sailing)
  2. 30% of Charter Rate at 9 months prior to sailing
  3. 30% of Charter Rate at 6 months prior to sailing
  4. 30% of Charter Rate at 3 months prior to sailing

Large Cruise Groups (e.g. 50+ Cabins or 100 Attendees) follow a different payment plan than Charters. Typically (with variations from cruise line to cruise line) Group reservations are secured 9-12 months prior to sailing, and require reduced deposits to secure all of the group’s accommodations needs with full payment typically paid 60-90 days prior to sailing.

Step # 4 -cruise event planning & logistics

It is now time to plan and move forward with the grand event. Whether the event planning starts 6, 12 or even 18 months out, SeaSide Events works closely with both our customers and the cruise line at every step of the way to ensure all critical elements fall into place. During this phase a daily events and activities schedule will be developed, as well as all pre-event logistics, reservations, and the cruise-based event delivers on our customer’s expectations. It is showtime!

Planning Window & Scope

Pre-Event Milestones

Typically, Cruise-based events are scheduled 12-18 months in advance of the sailing date out in order to secure the required onboard cruise accommodations, meeting or event space, group events, and activities, as well as planned shoreside activities. In the case of full ship charter, most cruise lines require charter agreements to be signed no less than 18 months prior to sailing.

Depending on the target audience or attendees, ship-based events are marketed to their target audience via online and social media channels, as well as websites, email marketing, and other digital channels. For corporate meetings we usually see internal communication channels being the preferred marketing tools.

Given the importance of keeping the attending guests informed on updates, news, or other relevant event information, it is critical to ensure a comprehensive digital and online marketing and communication plan and strategy are established to maintain recurring communications with all prospective event attendees.

As with land-based events taking place at conference hotels or convention center’s, the seamless and efficient attendee registration and accommodation booking process is an essential part of delivering a successful group event. At SeaSide Events, we work with the latest Event Registration software and platforms (Desktop & Mobile Apps), as well as fully integrated cruise accommodation booking platforms presenting live inventory, detailed stateroom descriptions, and payment processing. Our Cruise Event platform allows for direct communications with all booked attendees, promotion of specific events and activities, as well as a personalized mobile app with each attendee’s specific itinerary, daily schedule, and event registrations.
